Purchasing assistant
Purchasing assistant assists the department by materialising orders by ensuring our procurement plan meets the company needs working with national and international suppliers
Main tasks
- Prepare, validate and issue purchase orders and agreements to suppliers according to Keonn ERP requirements or other internal and external requests
- Proactively manage and monitor orders and supply schedules according to established production plans
- Follow up with suppliers regarding missing information or variations in purchase orders
- Communicate with internal parties of interest when significant changes in purchase orders such as cost variations, delays or quality issues impact our purchase plan by proactively seeking alternatives
- Update Keonn ERP with cost variations and new tariffs as well as communicate changes to internal parties of interest
- Send and follow up quotes and lead times requested to suppliers according to internal requests by Keonn internal parties (Procurement, Sales, Production, others)
- Regularly request external and internal stock status and update Keonn ERPs and external ERPs or suppliers
- Search for alternative suppliers upon stock unavailability, price or lead time deviations to planned supply schedule
- Assist in forecast planning regarding lead times and prices for large projects or quotations
- Monitor supplier performance and resolve issues and concerns
- Communicating with your functional manager regularly regarding the efficient flow of goods and services affecting production
- Contact freight forwarding companies as well as negotiate, execute and follow up import transport operations according to production schedules
We expect
- At least 2 years of experience in a similar position
- Knowledge of MS Office Suite
- Knowledge of Google Workspace
- Knowledge of incoterms in basic terms
- Ability to establish long lasting relationships with suppliers
- Great attention to detail
- Strong organisational abilities
- Flexibility to operate under changing procurement scenarios
- Ability to switch to isolated purchase disciplines whilst maintaining focus (mechanical, electronical, generalistic, to name a few)
- Ability to work under pressure maintaining high levels of attention during occasional peak periods
- Ability to work as part of an integrated team including continuous iterations with plant personnel, technicians, engineers and managers
- High negotiation skills
- Excellent written and verbal communication skills
- Empathy and collaborative attitude towards internal and external parties
- Fluent in written English is a must. Also spoken and written Catalan and Spanish
- You have an Administrative studies background or similar to adapt to this position
- You are a resident of the EU or are in possession of an EU working permit
